What a jazz band costs in Denver

Almost nobody asks what a jazz band costs the way the industry answers it. People ask what it costs for two hours, or for a cocktail hour, or for a wedding, and they get back a page of ranges with no sizes on them. The ranges are real. What’s missing is the thing that decides where you land in them, which is how many musicians are playing and for how long.

A jazz band is one guitarist, or a duo, or a trio, or a quartet with a horn or a voice. It’s the same book of standards, played by different numbers of people. So here is what the market charges, size by size and hour by hour. Each price is somebody else’s published number, so a budget line can be written before anyone writes to a band. We don’t publish our prices, because a Saturday in December and a Tuesday in September aren’t the same job. Send the date and we’ll come back with a recommendation and a price for that night.

This is the most common jazz booking there is, and the smallest. It’s one guitarist or a duo, upright bass and guitar, for the hour between a ceremony and dinner or the hour before a corporate program starts.

The market puts a solo musician or an acoustic duo for a cocktail hour at $200 to $700, and a classical string duo or trio for a Denver ceremony or cocktail hour at $800 to $2,000. Those two prices are the floor and the ceiling of the one-hour booking in this city: a working musician for an hour at one end, a formal ensemble at the other, and a jazz duo sits between them.

The reason a single hour costs what it does is that the hour of playing isn’t the whole job. The musicians still drive, load in, sound check, play and strike, whatever the length of the set. Hours are the smaller half of the fee, which is why a one-hour booking is never a quarter of a four-hour one.

A dinner is the trio’s natural booking, and the market’s price for a jazz trio or acoustic duo for a dinner is $500 to $3,000. The spread inside that number is how long the music plays and how much production travels with it: two musicians for two hours at one end, a trio with its own sound system for a whole evening at the other.

What you’re buying at dinner is a volume. A trio with the drums played with brushes holds the level two guests who’ve just met can talk across, for as long as the meal runs. That’s what makes the dinner price the safest one on this page to budget from: the format is the same at a client dinner, a wedding and a sixtieth birthday, and so is the price range.

Read the table down rather than across. From a duo for a cocktail hour to a quartet for a full evening, each row adds either a musician or an hour, and the price moves with it. The two California rows at the bottom are the top of the national market, an agency price for a jazz trio and quartet in California, and they’re in the table so a Denver price has something above it to be read against. Nothing in Colorado is quoted that way.

The other thing the table hides is what’s inside each number. A quote that includes sound and a quote that assumes the venue has it can land on the same price and cover two different evenings, and sound is the line that most often separates them.

When the booking is the evening rather than the hour, the market gives two clean prices: an acoustic duo across a four-hour reception runs $1,500 to $2,500, and a trio across the same four hours runs $2,000 to $3,500. Those two are one musician apart, and the market prices that one musician as the gap between them.

Denver has no trio price of its own in print. The Denver band range of $2,500 to $8,000 begins at the trio and ends at a full band with horns, so the trio sits at the bottom of that range rather than in the middle of it. A quartet, the trio plus a horn or a voice, sits a step up, and once the band is five or six with horns and a singer, the prices on the corporate cost page are the ones to read.

Three things move it, and each one should be its own line on a quote.

• How many musicians. A duo to a trio is one more person for the whole evening; a trio to a quartet is another. This is the biggest lever and the one most often set wrong. A dinner for forty is a duo or a trio, and it’s the size most often over-specified.
• How many hours. A cocktail hour and a four-hour evening are different jobs, and the short one costs more than the arithmetic suggests because the evening’s fixed work is the same. Time added on the night runs $200 to $400 for each hour past the contracted set across Colorado.
• The date. A Denver holiday weekend carries 20 to 30 percent across Colorado, and New Year’s Eve is its own case everywhere. Travel beyond the Denver metro is its own line, and the far resorts add a night’s lodging.

A wedding usually books the jazz band at more than one size across the day, which is what makes it hard to budget from a single range. A duo for the ceremony and the cocktail hour is the one-hour price above, twice over. A trio through dinner is the dinner price. A quartet for the first dance and the floor is the four-hour trio price with one more musician on it.

The useful way to read it: the ceremony and the cocktail hour together sit in the $800 to $2,000 range, and the evening sits in the $2,000 to $3,500 range, and one booking that covers both is cheaper than two, because the drive, the load-in and the sound system are paid for once.
